How to run a meeting

Run your meetings according to Protocol ...... When you bring a new member in to the 1st degree, he is taught who to gain entrance and act within the Chamber. Assure that your council will follow the Knights of Columbus protocol and Robert's Rules of Order that the members have been taught. Our PSD Gary Nolan says that he has never visited or been around a successful council that didn't observe protocol and run a professional meeting. Your method of running your council meeting makes the difference between retaining members and losing them for lack of interest. No one wants to attend long, boring meetings!

You only have one chance with the majority of new members to make a good first impression, so see that your Warden always has the Chamber set correctly for each meeting. Run your meeting as outlined on the Council Order of Meeting sheet. This way, your meeting will be structured for a smooth and consistent completion and the recorder can follow along and record items in the correct location in the minutes book.

Conducting a Meeting

  1. Call the meeting to Order - Remember the Grand Knight stands at all times while presiding. ONE RAP OF THE GAVEL. Brothers, we are about to open this council in the first session. All persons not having ...........
  2. Warden's report on Membership Cards .... Be sure the Warden Salutes the GK and he responds.
  3. Opening Prayer - GK or Chaplain FOUR RAPS OF THE GAVEL
  4. Pledge of Allegiance THREE RAPS. ONE RAP at the conclusion.
  5. Roll Call of Officers. TWO RAPS Officers stand. Recorder calls roll, Warden answers, officers sit as they declared present.
  6. Opening Ode THREE RAPS ONE RAP at the conclusion
  7. Reading of Minutes of Previous Meeting
  8. Report of Admission Committee and reading of Applications.
  9. Balloting for Membership. (New members, readmission's, reapplication's, transfers)
  10. Reading of Applications in other Councils
  11. Installations
  12. Grand Knights Report
  13. Chaplain's Report
  14. Treasurer's Report
  15. Grand Knight reads the receipts of the Treasurer to Financial Secretary and Treasurer's Voucher of Deposit.
  16. Readings of bills and communications.
  17. Financial Secretary's report of Receipts of Meeting.
  18. Report of Auditor's and Trustee's
  19. Chancellor's Report on Vocations
  20. Report of Service Program Committees. (GK calls on the Membership and Program Directors to introduce the committee directors for their reports.

  23. New Business - when elections are in order it is the first order of business
